Request deletion of your InTheCold data

This page explains how to request deletion of personal data held directly by Dyfed IT Limited trading as InTheCold, including website enquiries, customer or user profiles where applicable, support records and WhatsApp conversations delivered into Chatwoot.

How to make a request

  1. Email info@inthecold.co.
  2. Use the subject line: Data deletion request.
  3. Provide the name, contact email or telephone number used with InTheCold and enough information to locate the relevant account, enquiry or conversation.
  4. State which data or service the request concerns.
  5. Do not send a password, one-time code, full payment-card number or unnecessary sensitive information.

Identity and authority checks

We may need proportionate identity or authority checks before acting, especially where a request relates to an organisation, shared account, customer site or another person's information.

Response time

Requests are normally answered within one month. If UK data-protection law permits more time for a complex request, we will explain the reason and expected timing.

What deletion can cover

Deletion may cover personal data in website enquiries, customer contacts, user profiles, support records, alert/support communications and WhatsApp conversation records held by InTheCold, where erasure is legally required or appropriate.

Exceptions

Deletion may not apply where we need to keep data for legal or accounting obligations, fraud and security records, establishment or defence of legal claims, data controlled by another organisation, or data that has already been irreversibly anonymised.

Backups and restored data

Deletion from active systems may happen before residual backup copies expire through normal backup cycles. If a backup is restored, data that is still subject to a valid deletion request remains covered by the deletion process.

WhatsApp and Meta records

Deleting data held by InTheCold does not automatically delete your independent WhatsApp or Meta account, or Meta's own records. See WhatsApp's privacy information and Meta's Privacy Policy for information about Meta-controlled data.
